How do we bill for our services as a Managed Service Provider (MSP)?

We bill one month in advance for the services delivered on the first of each month during your contract period. Our service contract term is typically between 1 and 3 years. 


How is the monthly price calculated? 

In pricing the contract, we consider multiple factors, including:  

  1. Number of users that have access to company systems

  2. Number of daily computer users  

  3. Number of workstations and laptops in the organization  

  4. Number of servers and virtual servers  

  5. Size of backup and retention required for the business 

  6. Licensing needs for email, Microsoft 365, or Google 

  7. Number of sites or locations and the condition of those networks. 


When presented with our Managed Services Proposal, you will get an inclusive, flat rate per user for managing critical and system support services, including cloud-based solutions, security services, and equipment. 


We also include an estimated monthly cost for your Microsoft 365 or Google licensing requirements. This amount will fluctuate depending on the number of licensed users you have at any given time during the month. 


When and how often will my price change? 

All contracts are reviewed annually. If the makeup of your IT infrastructure has changed since the previous year, you will be presented with a new proposal based on the current infrastructure and users.  

Generally, during a one-year term, your per-user price remains constant and will not increase or decrease unless you experience a drastic growth or reduction in the size of your infrastructure and users.  A 30% variation, either up or down, triggers a review and requote of your contract. 


What does sample pricing for a company with 10 users look like? 

A typical inclusive service agreement for companies between 10 and 15 users ranges from $1,900 to $3,500 monthly. 

The goal is a predictable monthly fee that eliminates extra costs associated with the daily support of your users and the management of your IT systems and infrastructure.  Additional costs reflect client requests, such as adding software licenses, equipment purchases, or special one-off projects.


How does the number of users impact my monthly price?

During a contract period, your user numbers may fluctuate based on the number of hire and separation activities in each month. Regardless of user fluctuations, your price per user will remain unchanged. At the end of each month, our team reconciles your number of active users and adjusts the cost accordingly for next month’s billing of services.


Can my user count increase or decrease, and how?

Your monthly user count can increase or decrease anytime, impacting your license cost. We work closely with your HR team or account point of contact to ensure we have the correct user count.
